Privacy Notice

1. Data the Extension Reads

• employees (for the maintenance team) and users (to identify requesters and send them e-mail);
• if the manufacturing link is switched on: machine centers, to import machines and register absence time;
• e-mail account settings in Business Central, to send notifications.

2. Data the Extension Stores

The extension stores in your Business Central database: machines, maintenance types, the maintenance team (with hourly rates and e-mail addresses), external service providers, spare parts and their stock, maintenance requests (with the requesting user), activities, schedules, material lines, the work log, photos attached to activities, and the setup. This includes personal data such as names, user names, e-mail addresses, hourly rates and anything users write in descriptions and the work log or show in photos.

3. Photos

Up to three photos can be attached to an activity. They are reduced in size on the user's device before upload and stored in your Business Central database. They are never sent anywhere else.

4. Storage and Transmission

All data stays in your Business Central environment. The extension does not send data to, or store data on, any server owned or operated by DYNASYS. Its user interface and chart library are packaged with the extension; nothing is loaded from the internet.

5. E-mail

If you switch on notifications, messages about assignments, completions and new requests are sent through the e-mail accounts you have set up in Business Central, by your own e-mail provider. DYNASYS has no access to these messages, their recipients or your e-mail configuration.

6. Licensing

The extension is licensed through Dynasys Licensing, installed with it. The licence key and the list of licensed users are stored in your Business Central database and are checked there; no licence check is made over the internet. Request a License opens an e-mail in your own mail program, containing your company name, your Company License ID and the products in use. It is only sent if you choose to send it.

7. Telemetry and Analytics

The extension does not collect or send usage telemetry, analytics or diagnostic data. DYNASYS receives no information about how you use the extension or about your data.

8. Retention and Deletion

Data stored by the extension is part of your Business Central database and is kept under your organisation's policies. You can delete machines, requests, activities, photos and other records at any time in Business Central; uninstalling the extension with its data removes all of it.

9. Your Role and Your Rights

Your organisation decides what data is processed in its Business Central environment and is responsible for it under applicable data protection law (such as KVKK or GDPR). Because all data remains in your environment, you have full control over access, correction, export and deletion, using Business Central's standard tools and permissions.

10. Third-Party Services

The extension does not integrate with third-party services or external APIs. It uses only Microsoft Dynamics 365 Business Central and, for e-mail, the e-mail accounts you configure there.
